Connor Group users are expected to follow the guidance given here describing where work files should be saved.

This guidance is supplemental information to the policy for the management of client data

Work Products

Any files that would be considered a work product that Connor Group or clients have a stake in must be saved in one of the Connor Group's document management solutions.  The current standard solution is OneDrive, but other document management solutions are available for use depending on client preferences and other circumstances.

Engagement Documents

Files related to engagement work should be saved in the engagement's folder.

Shared engagement folders will be automatically created for each engagement in the default document management system.

There is not an automated process to create an engagement folder when one of Connor Group's alternative document management solutions is used for internal sharing of work files related to an engagement. A engagement folder should be requested from IT when an alternative document management solution is used for shared work on a client engagement.

Any documents that need to be shared with clients, or any 3rd party, must be stored in a purpose specific company managed shared folder.  This will not be the same as the engagement folder created for internal sharing of documents.

Individual Documents

Scratch files, temporary files, or any individual work products that don't need to be shared with other Connor Group users must be saved in one of Connor Group's document management solutions.  Failure to save individual documents to a sanctioned document management solution put those files at risk for loss with no option for recovery.

  • Connor Group's document management policies prohibit 3rd party sharing from the individual's space in Connor Group's document management solutions.
  • Sharing of files between other Connor Group individuals is permitted by document management policies.
    • However, this should be done sparingly and a group or engagement folder used when the number of files or the number of audience members for a share becomes significant.

Personal Files

Personal files in this context refer to files, that are not work related, which a user may store on their company owned computer system.  Personal files may be stored in Connor Group's document management system provided that the usage is consistent with the acceptable use policy included with the employee handbook.  However, user's are encouraged not to store personal files in Connor Group's document management systems and should understand the expectation for privacy regarding data stored in Connor Group's document management system as described in the employee handbook.
